E-Invoicing
Turn your sales invoices into official UAE e-invoices and send them electronically over the government-endorsed Peppol network β computer-to-computer between you, your customer, and the Federal Tax Authority (FTA) β instead of as PDFs or paper.
Think of Peppol as a worldwide postal network for tax invoices, and the ASP (Accredited Service Provider) as your licensed post office β you can't drop mail into the network yourself, so you hand it to the post office. Your Participant ID is your address on that network, printed automatically from your tax number. "Validate" is proofreading the letter; "Submit" is posting it; and watching the status go from submitted β delivered β reported is tracking a registered letter until both your customer and the tax authority sign for it.
01What you see on the screen
| Card | What it's for |
|---|---|
| E-Invoice Exception Queue | E-invoices that failed to send, with a Retry / Resolve button and an ageing SLA clock. |
| Inbound E-Invoice β Bill | Drop a supplier's e-invoice XML and turn it straight into a purchase bill. |
| ASP Configuration | (Admin only) Connect to your Accredited Service Provider. |
| E-Invoice Submissions | Every invoice/credit note/debit note you can submit, with a status badge and Validate / Submit buttons. |
02Connecting (admin, one-time)
In ASP Configuration an admin picks the Provider (e.g. the built-in sandbox for testing), enters the API Base URL and API Key from the ASP, sets Free Zone Yes/No, switches Enabled on, and clicks Save. Your Participant ID β your address on the network β is then shown automatically; it's built from your company TRN.
03Send an invoice as an e-invoice
- Set your company TRN (My Account), then configure the ASP (admin) and set it Enabled.
- Open the E-Invoicing tab and find your document in E-Invoice Submissions. Make sure the customer is a business or government body (see scope below), not a private consumer.
- Click β Validate to check it against the UAE format. Fix anything it lists (missing buyer name, line math that doesn't add up, a credit/debit note missing its original-invoice referenceβ¦).
- Click π€ Submit. It's sent via your ASP; the status badge updates.
- Click the π refresh to follow the status until you see DELIVERED and finally REPORTED with a green FTA β.
04The status lifecycle
| Status | Meaning |
|---|---|
| not submitted / DRAFT | No submission yet, or just created internally. |
| VALIDATED | Passed the format check locally. |
| SUBMITTED | Accepted for processing by your ASP. |
| SIGNED | The ASP signed it and returned the signed file + QR code. |
| DELIVERED | The customer's ASP acknowledged receipt. β |
| REPORTED | The FTA acknowledged it β the final good outcome (green FTA β). β |
| REJECTED / FAILED | Content rejected, or a technical error. You must correct and reissue. |
05Who's in scope (B2B / B2G vs B2C)
06Receiving a supplier's e-invoice
In Inbound E-Invoice β Bill, upload the supplier's XML and click Preview to see a draft (supplier, TRN, lines), then Create Bill to make the purchase bill. If the supplier isn't already a vendor, one is created automatically from their TRN.
