Inventory

Keep an accurate, always-matching count and money value of your physical goods across every place you store them โ€” so you know how many of each item you have, where, and what it's worth. Every movement is recorded in your accounts automatically.

๐Ÿ“– In plain words

Think of it as a storeroom logbook that never forgets. Every time something comes in, goes out, or moves shelves, you jot it down โ€” and the book instantly tells you how many of each thing you have, in which room, and exactly what it's all worth in dirhams. Because the same pen writes in your accounts at the same moment, the storeroom's total and the company's books always agree.

01What you see on the screen

The Inventory tab is a stack of cards:

02Warehouses come first

A warehouse is simply a named storage place โ€” a shop floor, a main store, a delivery van, a second branch. Stock is always counted per warehouse, so the same item can sit in several places with separate counts.

Make a warehouse before anything elseIn the Warehouses card, enter a short unique Code (e.g. WH-MAIN) and a Name (e.g. Main Store), then click Add Warehouse. The first one you create automatically becomes your default.

03The four stock operations

Choose one from the Operation drop-down. Each does something different to your count โ€” and, except transfers, records a matching entry in your accounts.

Stock-take (counting)There's also a stock-take that lets you enter the quantities you actually counted; the app compares them to its records and makes the small correction moves for you.

05How stock is valued

FinSanad uses Weighted Average Cost. It keeps a running total value and quantity for each item, and the average cost per unit is simply value รท quantity. When you receive more at a different price, the average blends automatically; when you issue, stock leaves at that current average.

Stock value always matches the accountsEvery movement (except transfers) writes into your accounts at the same moment, so the storeroom's total value always ties to the Inventory account in your books. The Overview shows both numbers and a green GL reconciled badge โ€” if they ever drift apart it turns red and shows the difference.

06How to receive stock into a warehouse

  1. Open the Inventory tab.
  2. No warehouse yet? Create one in the Warehouses card first.
  3. In Stock Operation, set Operation = Receipt (stock in).
  4. Pick the Item (only stock-tracked items are listed) and the Warehouse.
  5. Enter the Quantity and the Unit cost (AED). For a batch item, add the lot number and expiry; for a serial item, list one serial number per unit.
  6. Click Post Operation. The count, value and average cost update, and the matching accounts entry is made.

07How to check current stock levels

  1. Open the Inventory tab.
  2. Read the Stock Levels table โ€” each row is an item in a warehouse with its On hand, Avg cost and Value.
  3. For the whole-company picture, look at the Inventory Overview strip and its reconciled badge.
  4. For batch or serial items, use the Batches & Expiry and Serial Numbers cards.

Reorder alertsIf you give an item a Reorder level (set on the Items screen), the Overview watches its total across all warehouses. When it falls to or below that number, a yellow banner lists it as needing a reorder, biggest shortage first. When nothing is low, it reads "โœ“ No items below reorder level."

Warehouse first, then items must be stock-trackedYou can't receive stock without a warehouse, and only items with stock tracking switched on appear in the Item list.

Stock can't go negativeIssues, transfers and downward adjustments are refused if there isn't enough on hand ("Insufficient stock").

Batch and serial items need their detailsA batch receipt needs a lot number (and issues use First-Expiry-First-Out); a serial receipt needs exactly one unique serial number per unit.
