Banking

Register your company's bank accounts, bring in your bank statements and tick them off against your books (reconcile), and keep track of post-dated cheques you've received or issued โ€” all in AED.

๐Ÿ“– In plain words

Reconciling is like checking your bank's SMS alerts against your own notebook: the statement lines are the bank's version, your book entries are what you already wrote down, and matching is ticking off each pair until both columns agree. A post-dated cheque is an IOU with a "don't cash before" date โ€” you file it away, and nothing changes in your accounts until the day you actually bank it.

01What you see on the screen

The Banking tab stacks several cards: โž• Add Bank Account, the Bank Accounts list, Statement Reconciliation, and ๐Ÿงพ Post-Dated Cheques (PDC). (Currency rates, online payments and petty cash are separate features that appear only when switched on.)

Each account gets its own ledger folderBehind the scenes every bank account is given its own accounts code (in the range 1101โ€“1199). That's what makes reconciliation clear โ€” each account's money is tracked separately.

There's no "add a bank transaction" form here โ€” the money movements come from the rest of the app (customer/supplier payments, journals, and cleared cheques), and reconciliation compares those book entries against your imported statement.

03Reconciling the bank

  1. In Statement Reconciliation, pick the account (e.g. Main AED Account).
  2. Leave the format on Auto-detect (or pick your bank), click โฌ† Import Statement, and choose your CSV or PDF file.
  3. Click โšก Auto-Match โ€” every line whose amount exactly equals a book entry within ยฑ3 days is ticked off (turns green).
  4. Click ๐ŸŽฏ Smart Match for the rest; accept the suggested confidence (default 80). It applies confident exact-amount pairs and leaves anything unclear for you.
  5. Match any leftovers by hand, or use split/group matching when one bank line covers several book entries (both sides must total the same).
  6. Enter the statement closing balance and an as-of date, then click โœ” Sign off.

"Reconciled" means difference = 0 AND no unmatched linesAuto-Match and Smart Match only ever link amounts that are exactly equal. If there's any gap or leftover line, it signs off as a "difference" rather than fully reconciled. A CSV needs the columns date, description, reference, amount with a signed amount (positive = money in, negative = out).

04Post-dated cheques (PDC)

Register a cheque with its Direction (Received from a customer, or Issued to a supplier), Party, Cheque no., Amount, Maturity date, and which of your bank accounts it will clear through. A received cheque can be linked to an invoice/debit-note; an issued cheque to a bill/credit-note.

To record one: set the Direction, pick the Party, enter the cheque number, amount and maturity date, pick the bank account, and click ๏ผ‹ Register. It sits as pending until, on/after the maturity date, you click Present to bank it. A maturity strip shows cheques due in the next 30 days, and there's a printable UAE-style cheque with the amount spelled out in words.

05Rules & things to watch

Cheques don't touch the accounts until presentedRegistering, bouncing or cancelling posts nothing. Only Present moves the money โ€” and a cheque already cleared/bounced/cancelled can't be presented again.

Bank-account limitsUAE IBANs are validated on entry. Each account uses one ledger code from 1101โ€“1199, so there's a limit of 100 accounts. A single book entry can only be matched once.

Corporate cardsIf you use company cards, the card feed is imported and matched to expense claims (under the Expenses area), not here โ€” and it only works when the Expenses feature is on.
