A retail shop: daily cash sales

Follow a small shop that rings up dozens of small cash sales a day. You'll see the simple daily rhythm in FinSanad โ€” record the day's takings, drop stock, capture VAT, bank the cash, and check the till balances.

๐Ÿ“– The story

Corner Mart is a small shop selling everyday goods for cash. Nobody wants to type a separate invoice for every chocolate bar โ€” so at the end of each day the shopkeeper records the day's total sales in one go, banks the cash, and moves on. FinSanad keeps the stock, the VAT and the till all correct behind the scenes.

01Set up once

  1. In Parties, add one customer called Walk-in Customer (Type = Customer). You'll use it for all cash sales โ€” you don't need a record for every shopper.
  2. In Items, add the products you sell as Goods with stock tracking, a sale price and VAT% = 5.
  3. Make sure you have a Cash account (the till) and a Bank account โ€” see Accounts and Banking.

03Step 1 โ€” Record the day's sales

At close, take your till/POS Z-report total and record it as a single sales invoice to the Walk-in Customer, paid by cash. Say the day did AED 2,100 across the counter (net 2,000 + 100 VAT).

  1. Open Invoicing โ†’ โž• New Document, Document Type = Sales Invoice, party = Walk-in Customer.
  2. Add the items sold that day with their quantities (from your till report), so your stock drops correctly. VAT% 5 on each.
  3. Click Create & Post, then ๐Ÿ’ฐ Receive the full amount with Method = cash โ€” the money lands in your Cash (till) account and the invoice is marked paid.

Too many items to list?If listing every item is impractical, record one summary line like Cash sales โ€” 22 Jul (net 2,000, VAT 5%) instead. That keeps your sales and VAT correct, but it won't reduce stock item-by-item โ€” so do a periodic stock-take to bring the counts back in line. If you track stock tightly, list the items (above).

04Step 2 โ€” Bank the takings

You don't leave all the cash in the drawer. When you deposit the day's (or week's) cash at the bank, record the move from the till to your bank account.

  1. Open Vouchers and create a simple entry: Debit your Bank account and Credit your Cash account for the amount deposited (e.g. AED 2,000, keeping a AED 100 float in the till).
  2. Post it. The money has now moved from the till to the bank in your books, ready to reconcile against your bank statement.

Card and online takingsSales paid by card or app don't go into the till โ€” when you record the day's sale, use Method = card/bank for that portion so it lands in your bank account directly, and cash for the rest.

05Step 3 โ€” Check the till balances

Cash counted should equal the Cash accountAfter recording sales and banking, the balance of your Cash account in FinSanad should match the notes and coins actually in the drawer. If it doesn't, you've got a miscount, an unrecorded sale, or an unbanked amount โ€” find it before you close the day.

Your day's numbers flow straight through: Reports shows the sales and the VAT you owe, and the Report Builder can chart takings by day or week.

06Things to watch

Keep stock honestIf you record daily sales as one summary line (not item-by-item), your stock counts drift โ€” so run a regular stock-take to correct them. Listing the actual items keeps stock exact but takes longer.

VAT is in your pricesShop prices usually include VAT. The AED 2,100 taken is 2,000 of sales + 100 of VAT โ€” the VAT part isn't yours to keep; it's collected for the FTA and appears on your VAT return.

Keep a floatLeave a small fixed amount (a "float") in the till overnight and only bank the rest โ€” it makes the next day's counting and reconciliation simpler.
