CRM & Leads

Track possible customers from first contact to a won sale: capture a lead, turn it into a customer and a tracked "deal", send a price quote, and convert an accepted quote into a real invoice with one click.

๐Ÿ“– In plain words

Think of CRM as a sales funnel on a conveyor belt. A lead is a business card you just collected; converting it drops the contact into your customer book and starts a deal card you slide along a track (New โ†’ Qualified โ†’ Quoted โ†’ Won or Lost). A quote is the written price you hand them, and "โ†’ Invoice" is the cashier turning that accepted price into an actual bill.

01What you see on the screen

Three cards: โž• Lead (add a lead + the leads list), Deals Pipeline (deals moving through stages), and โž• Quote (build a quote + the quotes list). The pipeline stages, in order, are:

StageChance of winningMeaning
New10%Just created.
Qualified30%A real opportunity.
Quoted60%You've sent a price.
Won100%Closed as a sale.
Lost0%Closed with no sale.

03From lead to invoice

Add a lead

  1. Open the CRM tab.
  2. In โž• Lead, enter the Name (and optional Company, Email, Est. value).
  3. Click Add Lead โ€” it appears with status new.

Convert the lead, then quote

  1. In the leads list, click Convert โ†’. This creates a customer and a deal (in the New stage) and marks the lead converted.
  2. (Optional) In Deals Pipeline, use the Stage dropdown to move the deal along.
  3. In โž• Quote, pick the new customer, click ๏ผ‹ Add line, and enter Description, Qty, Price, VAT%.
  4. Click Create Quote โ€” it totals it (e.g. AED 5,000 + 250 VAT = 5,250) and saves as a draft with a number like QT-20260720-A1B2.

Convert an accepted quote to an invoice

  1. In the quotes list, find the draft the customer accepted and click โ†’ Invoice.
  2. A real posted sales invoice is created with the same lines and totals; the quote shows converted โ†’ INV-โ€ฆ, and its deal is automatically marked Won.

04Rules & things to watch

1๏ธโƒฃ
Convert once onlyA lead can be converted once ("already converted" if you retry), and a quote can become an invoice once. Converting a lead creates a brand-new customer โ€” it doesn't check for duplicates.
๐Ÿงฎ
Totals are calculated for youQuote subtotal, VAT and total are worked out by the system โ€” you can't override them. A quote needs a customer and at least one line with a description. Currency is AED.
๐Ÿ”’
Feature-gatedCRM must be switched on for your company, and you need Invoicing access (read to view, write to add/convert). The invoice made from a quote skips the credit-limit check.
